Gone are the days when you relied on big, bulky machines to scan documents. Now, thanks to smartphones, you can use their cameras to scan and keep important documents, such as tax forms, bills, and contracts, on the go. When you use a camera smartphone to scan documents, they are scanned at the highest quality, and you can access those important documents from your pocket. If you don’t own (or want) a multifunction printer, this guide is for you.
Google Stack is a personal document management app for Android phones. It was created by Google’s Area 120 team. If you’ve yet to hear of the app, check out our in-depth Google Stack guide to get a better idea of what the app does. If you’re familiar with the app but don’t know how to set it up, here’s what you need to know.
How to set up the Stack app
There isn’t a shortage of scanner apps for your phone or tablet. And while scanning paper documents may be annoying when you use an app, at least you won’t have to pay for the luxury of digitizing a document.
Here’s how to get started with Stack:
- Download the Stack app from the Google Play Store.
- Open the app and select the Google account you’d like to use with the app.
- Tap the Continue button.
- Tap Allow to permit Stack to access your documents and media.
- If you want to add new documents to Stack automatically, tap Allow. Otherwise, select Deny.
- Swipe through the tutorial and tap the Done icon.
How to use the Stack app
After Stack is set up, you’ll see the Home, All documents, and plus (+) icons at the bottom of the screen. The Your Stacks bar, populated with several default categories, appears at the top of the app.
Now that you have a feel for the basic setup, here’s how to scan your first document:
- Tap the + icon in the lower-right corner of the app.
- You’ll see a menu with PDF, Gallery, and Camera options. If you have an Adobe Acrobat file on your phone or tablet, select PDF to add it to your Stack. Photos and videos can be saved to Stack by selecting the Gallery option.
- To scan a paper document, select Camera.
- Tap Allow to give Stack permission to access your camera.
- Align the corners of the viewfinder with the corners of your document and click the Scan button.
- After scanning the first page of your document, select Add to include additional pages.
- Select the Adjust color and Crop & rotate options to clean up your documents after you finish scanning them.
- Tap Save after you’ve scanned and edited your document.
- Add the name of the document in the Name field.
- After you’ve named your document, tap the Stack where you’d like to store the document. You can select multiple Stacks.
- When you’re happy with your selections, tap the Done icon to save your document.
What else can Stack do?
Although Stack is a solid document-scanning app, it has some impressive AI tricks. The Stack app uses OCR to parse your documents. It also uses Google’s machine-learning capabilities to help you locate and categorize your files quickly.
You can also edit and create new Stacks to better organize your documents. Here’s how to customize the Your Stacks bar:
- Tap the Edit icon in the upper-right corner (below your profile image or initials) of the Stack home screen.
- Tap one of the existing Stacks from the Your Stacks to remove it. Removing a Stack does not delete any documents within it.
- To make a new Stack, tap Suggested Stacks to find options Google recommends, or select the Create button.
- If you select Create a Stack, add a unique name for it in the Stack Name field that pops up.
Additional Stack settings you may want to update
Like most Google apps, Stack is intuitive. Once you know the basics, you can navigate the app with ease. There are several options in the app’s Settings menu that you may wish to tweak. To access Stack’s Settings menu and change the options, tap your profile icon in the upper-right corner of the Stack app. Then, select Settings to see the list of settings. Turn these settings on or off as needed:
- Import photos of documents automatically adds document images you take to Stack.
- Fingerprint or Face lock adds an extra layer of security to the Stack app by requiring biometric verification each time you open the app. We recommend that all users turn on this feature.
- Mobile data usage automatically adds documents to Stacks and syncs them with your Google Drive account (see below) without a Wi-Fi connection.
- Save PDF copy to Drive saves your documents to a Stack folder in your Google Drive account. We recommend all users turn on this feature.
- Export all documents to Drive moves everything you’ve saved in Stack to your Google Drive account. The documents are saved in a folder called Stack Export.
- Delete all your data removes your files from Stack. If you want to remove everything from Stack, select Delete all your data and click the Delete all your data checkbox that appears.
Stack is an experimental app from Area 120. Google can discontinue the Stack app at any time or integrate the underlying technology into one of its existing products. We recommend backing up any documents scanned in Stack to Google Drive or a similar cloud storage service.
Stack isn’t the only game in town
The features and trust that Google brings in the form of Stack are hard to let go of. The app is experimental, and Google could cancel this app anytime. Moreover, the app hasn’t been updated for a long time, and the Play Store prevents that app from being installed on devices running Android 13 and later.
Google Stack is only available for Android users in the US. It’s a no-go for people who may want a solution that works on more operating systems and is available in their region. If you are outside the US, check out other scanning and document management apps that work on multiple platforms.
